An efficient task management system that unifies teams and brings clarity to projects.
Emperia Alliance had long operated a fragmented task delegation system - tasks were delegated via emails, whatsApp platforms, private messaging, and verbal delegation/reminders. This began to pose a challenge when deadlines will be routinely missed due to unstructured task delegation, multiplicity of information channels that made it easy to miss information, and broken down workflows.
I built an end-to-end, user friendly, task management system that incorporated project timelines, clear communication channnels, tools and resources, folder placements, task/project descriptions, project goals and assignees, and team leads responsible for overseeing projects. The workflow, which I nick-named, Executing Great Work (EGW), was designed this way:
The goal was to streamline and simplify task delegation channels, unify teams and provide clarity in the midst of an effusive task in flow. The expected outcomes included; a landslide improvement in team efficiency, overhaul of previous workflow methods, and collaboraton within teams to facilitate sustainability of systems.
Created task boards highlighting new projects, timelines, assignees, designated teams, task status, priority levels, sub tasks, etc.
I set up a weekly review system to track KPIs, identify bottlenecks early, and adjust where needed.
EGW eliminated process bottlenecks by 70% and improved overall team efficiency by about 50%, while significantly streamlining communication and simplifying how work was delegated and tracled across the organization.
